What the import is for

Instead of entering each building, unit, room and equipment one by one, you describe the whole rental in a file and import it at once. It is handy for a residence with dozens of units or to bring a portfolio over from another tool. Two formats are available: JSON, from the Starter plan, and the Excel workbook (.xlsx), from the Standard plan (see plans). Both use the same data and the same checks. The feature is in My rentals, Import button.

What is imported

  • the rental: name, residence, address, country, currency, GPS coordinates, ownership share, dates;
  • the buildings (type, floor height) and the lessor's details;
  • the units: title, floor, unit type, rental type (unfurnished, furnished, flatshare, seasonal), rent and charges, places, deposit, due day, description, energy diagnostics, accountant, platforms (Airbnb, Booking…) and seasonal terms (nightly price, minimum stay, times…);
  • for each unit, its rooms (type, area, description, flatshare place);
  • for each room, its equipment (type, quantity, description).

Not imported: tenants, payments, contracts and supporting documents (personal data: create them in the console), photos and floor plans.

Download the templates

In the import window, open the Download the template tab and pick your format (the Excel template is only offered from the Standard plan). The JSON template (modele-location.json) holds a complete example (standard rental, flatshare, seasonal) and a references section listing the allowed identifiers. The Excel template (modele-location.xlsx, from Standard) has the same examples split into sheets: Location (field / value), Bâtiments (buildings), Lots, Pièces (rooms), Équipements (equipment), plus Aide (help) and Références (informative). Do not rename column headers. Sheets are linked by references: building (building → unit), reference (unit → rooms → equipment) and room (room → equipment).

File structure

{
  "format": "smartlife-location",
  "version": 1,
  "location": { "name": "…", "country": "FR", "currency": "EUR", … },
  "buildings": [
    { "name": "Building A",
      "lots": [
        { "title": "1BR first floor", "reference": "A-T2-1A", "flat_type": 4, "rental_type": 10, "rent_amount": 650,
          "rooms": [
            { "name": "Living room", "type": 1,
              "equipments": [ { "type": 5, "quantity": 1 } ] }
          ] }
      ] }
  ]
}

format and version are mandatory. A seasonal rental (rental_type 100) uses the seasonal block instead of the rent. For a flatshare, places is the number of flatmates and flatshare_place ties a room to a place (0 = shared room).

Validation before import

First click Check the file: the whole file is analysed (reading the JSON or the workbook, known fields, types, allowed values, references, limits, units already imported). The import is only possible if the file is entirely valid; a single error and nothing is created. Each error shows its location: for JSON, for example buildings[0].lots[2].rooms[1].type: unknown room type (999); for Excel, the sheet, row and column, for example Sheet “Pièces”, row 7, column “type”: unknown room type (999). Fix the file and check it again.

Unit references, tracking and duplicates

Each unit must have a reference (reference): an identifier you choose (for example A-T2-1A), unique within the file and made of letters, digits, spaces and . _ - /. It is the unit's tracking key. Each imported unit keeps a trace of its import (date, format) and your imports are listed in Import history in the import window.

A unit that has already been imported is never imported twice. If a reference in the file matches a unit that was already imported and still exists, the file is rejected with the list of units concerned: remove them, or give a new reference if it is a different property. A unit you have deleted since can be imported again. Two imports started at the same time (double click, two tabs) are also blocked.

Your plan's limits

The import follows exactly the same limits as a manual creation: your plan's number of rentals (the import creates one rental) and its number of units per rental, including the account's extra units (see plans). If the file holds more units than your limit, it is rejected as a whole and nothing is created. Technical limits: JSON 1 MB, Excel 5 MB, 20 buildings, 500 units, 40 rooms per unit, 60 equipment items per room.

The import window shows a Your plan box listing what is and is not included: JSON import, Excel import (from Standard), units per rental, rentals still available, along with the plan that lifts each limit. Options that are not included are marked Not included.

Export your rentals and bulk-update them (Premium)

With the Premium plan, the Export button in My rentals downloads all your rentals in a single Excel workbook: one row per rental (Location sheet), then buildings, units, rooms and equipment. Edit whatever you want (rents, descriptions, equipment, new units…), save, then re-import the workbook: your rentals are updated, without duplicates.
  • The project_id, archi_id, lot_id and room_id columns identify what exists: do not change them.
  • A unit row without lot_id is a new unit; if its reference already matches a unit of the rental, that unit is updated. A new room with the same name and type as an existing room updates it instead of duplicating it. Re-importing the same file twice therefore creates nothing more.
  • The import never deletes anything: tenants, payments, photos, plans and contracts are kept. It does not change the rental type of an existing unit either, nor the fields of the Location sheet (informational). To delete or clear a field, use the console.
  • A row of the Location sheet without project_id creates a new rental.
  • Only your own rentals are exported and updated; exports are limited to 20 per hour.

Preview, error workbook and file protection

Preview: after Check the file, a table lists each unit (rental, building, reference, action created, updated or unchanged, number of rooms and equipment) before you start the import.

Error workbook: if an Excel workbook contains errors, nothing is imported and you can download your workbook with an “Erreurs” column on each affected row, plus an Rapport d'erreurs sheet. Fix it and re-import it (the file stays available for an hour).

Protection and checks: in the provided workbooks, headers are frozen and protected (no password: Review > Unprotect Sheet if needed), the Aide and Références sheets are locked, and numbers are checked as you type (positive rent, due day from 1 to 28, deposit from 1 to 12 months, etc.).

Large files, resuming and import limit

The import runs in steps with a progress bar: even a file with several hundred units does not depend on the timeout of a single request. Keep the window open during the import. If it is interrupted (closed tab, network loss), reopen the import window: a Resume the import button finishes it where it stopped, without recreating what already exists (resuming is possible for 6 hours).

To protect the platform, the number of actions is limited per account and per hour: 10 imports, 60 checks and 20 exports.

Run the import

Once the file is validated, tick the ownership declaration on honour; for 100% ownership, also attach the proof of ownership (as with a manual creation). The rental is created with all its buildings, units, rooms and equipment, then opened. It counts toward your plan's rental quota.

Common errors

  • Invalid JSON: extra or missing comma, straight quotes are required (not “ ” or « »).
  • Unknown type: use the numbers from the references section (JSON) or the Références sheet (Excel).
  • Unknown field or column: a misspelled name is rejected rather than ignored.
  • Missing or duplicate reference: each unit has a unique reference.
  • Unit already imported: remove it from the file (see the import history).
  • seasonal required: a rental_type 100 unit needs day_price and max_adults (columns seasonal_day_price and seasonal_max_adults in Excel).
  • Excel: dates as YYYY-MM-DD, yes/no for true/false cells, a room reference (room) filled in as soon as the room has equipment.
  • Plan: JSON is locked on the Free plan, Excel on the Free and Starter plans: change your plan.
