The principle
When a tenant applies to one of your long-term homes published in the directory (see Publish the unit), you receive an email. Applications are in the console: open the rental then Rentals › Applications. You compare, ask, decide: Smartlife neither ranks nor refuses any applicant.
Comparing files
For each home, a table shows the same criteria for everyone: situation, net income, effort rate (rent + charges ÷ income), guarantor type (individual, Visale, company or organisation), household size, move-in date, shared documents (out of the usually expected ones), reliability score if the applicant shared it, and status. Sort by date, effort rate or income. Click an applicant for details, their message and history.
Viewing documents
Documents are visible only if the applicant shared them and while the application is open or accepted. Each view is logged in the history. As soon as it is refused or withdrawn, access is removed.
Checking an applicant's Visale visa or guarantee
When the guarantor is Visale or a professional guarantor (GarantMe, Unkle, Cautioneo, SmartGarant, CLÉ), the application detail shows the visa number, the holder's name, its dates and the result of consistency checks (format, holder's name compared with the applicant's identity, dates, expiry).
- For Visale, go to visale.fr (official service); for a professional guarantor, contact the named provider. Check the visa or certificate: number, holder, dates and guaranteed rent;
- then click I checked this guarantee: the check is recorded in the history (who, when, which number) and a “Checked” badge is shown;
- if the applicant changes the visa number, the confirmation is no longer valid.
Asking for missing documents
Click Request documents: tick the documents and add a note. Only documents from the legal list are offered (identity, address, activity, income, guarantor). The applicant is notified by email and the application becomes “Documents requested”.
Deciding
Mark the application “under review”, then Accept or Do not select with an optional message. The applicant is notified. Reminder: choose on objective criteria; any discrimination (origin, sex, family situation, health…) is forbidden, as is asking for documents outside the list (bank statements, health card, etc.).
Create the tenant without re-typing
On an accepted application, click Create the tenant from this file: the add-tenant wizard opens pre-filled (name, email, phone, address, move-in date). You complete the ID and the lease terms (see Add a tenant to a unit). The application is marked as converted, and the applicant finds their lease in their tenant space.
Review the tenant at the end of the lease
When a lease is closed (tenant page), a Tenant review block lets you enter an overall rating from 1 to 5, the condition of the home when returned, whether notice was respected and a short factual comment. It feeds the tenant's reliability score, and they can reply and contest it. It can be fixed for 14 days as long as they have not replied.
Watermark with your company name
Applicants' documents (and the ID documents of your leases' tenants) are displayed with your company name as a watermark and the viewing date: the name is the one of your company profile, otherwise yours. You cannot download the original. Do not copy them or pass them on to anyone else.
Your listings' performance
At the top of the Applications page, the My listings' performance block shows, per home, views, contacts, applications, leases created from an application and the delay to the first contact (see Conversion indicators).
Personal data
You may use the documents only to assess the application, and must not keep them after the decision. Closed applications are deleted automatically after 90 days. See Your data and your rights.
